Gmail add-on: release preview
The Gmail add-on is in release preparation and is not publicly available in Google Workspace Marketplace yet. These instructions are for users with access to the preview.
- Open an email in Gmail, then open Save Email as PDF from the side panel.
- Choose the current message or Whole conversation. Select the attachments you need, and choose whether to include the email text and compress the PDF.
- Choose Convert to PDF for the current message or Convert conversation for the whole conversation. If conversion takes longer, keep the progress card and use Check status.
- Choose Download PDF to open the download page, then click its Download PDF link to save the file. Or choose Save to Drive in the add-on to create a copy in your Google Drive.
Gmail is still converting
Use Check status to check the same conversion. Larger files and the first conversion after a quiet period can take longer. If an error appears, follow the recovery steps on the card.
Saving to Google Drive needs permission
Save to Drive needs the optional permission to create files with this app. You can still download the PDF if you did not grant that permission. If you want to change your choice, reinstall and authorize the add-on again.
The Gmail selection is too large
Follow the size limit shown in the card and select fewer attachments, or convert one message at a time. The Gmail preview currently limits each selection to about 12 MB and each conversation to 50 messages. Outlook accepts up to 20 MB of selected content.
Common issues
“This attachment isn't supported”
Save Email as PDF merges PDF, Word, Excel, PowerPoint, and image files (PNG, JPG, GIF, BMP, TIFF). Unsupported files are identified in the app and cannot be selected; the supported parts can still be converted.
OneDrive, SharePoint or Google Drive links cannot be selected
Links to cloud files don't contain the file itself, so they can't be merged. Download the file and re-attach it, or convert it separately.
“You've used your free export”
Your first successful export is free, once ever. The allowance does not reset monthly or when you reinstall or change devices. Previous successful exports count toward the allowance. Further exports require Pro at $10 per user per month for unlimited exports, subject to fair use. Outlook and the Gmail preview share this single allowance and subscription when you use the same email address. Failed conversions and downloading an existing PDF again do not use another export.
Managing or cancelling your subscription
Manage billing in Outlook or the Gmail add-on opens Stripe's customer portal to manage your subscription. If you cannot find your Save Email as PDF subscription, contact us with your receipt so we can identify the correct purchase.
The download didn't start
In Gmail, the add-on opens a download page first. Click Download PDF on that page to start the download. Check the browser's download list and allow the download if prompted. Downloading the existing PDF again does not use another export. Links are valid for 30 minutes; after expiry, creating a new PDF is another export and requires Pro once your free export has been used. Save to Drive in the add-on is another option while the link is still valid. In Outlook, the PDF opens or downloads through your mail app or browser.
I bought Pro but the app still says free
Make sure you completed checkout with the same email address you use in Outlook or Gmail. It can take a minute to activate; close and reopen the add-in or add-on. A subscription on a different email address does not automatically transfer. Still stuck? Email us with your receipt.
Password-protected PDFs
Encrypted PDF attachments can't be merged. Remove the password first, or deselect that attachment.
Managing your subscription
Open the add-in or add-on and choose Manage billing to update your card, view invoices, or cancel. Cancellation takes effect at the end of the current billing period.
Requirements
Outlook: a Microsoft 365 / Outlook.com mailbox in the new Outlook for Windows, Outlook on the web, or Outlook for Mac. Classic Windows Outlook with a Microsoft 365 subscription works too.
Gmail preview: an account with Gmail and access to the add-on's preview installation. Your organization's administrator may restrict add-on installation or permissions. Public Gmail availability is pending release.
